What cold email software has to get right

Cold email lives or dies on three things: whether the message reaches the inbox, whether it reads like a person wrote it, and whether a reply gets answered before it goes cold. Volume is the easy part. MailFleet is built around those three, in that order, and the design decisions below follow from it.

Deliverability comes first

Warmup for every mailbox, free. Any connected mailbox can join MailFleet's warmup network with one switch — or a whole selection with Turn On Warmup — for real exchanges with other customers' warmed inboxes that are opened, rescued from spam, flagged and replied to. A mailbox switched on with no volume set starts at 20 warmup emails a day; Bulk Edit sets 20 a day with a 30-minute gap and a 30% reply rate, all tunable per mailbox or in bulk, with an optional daily ramp. Warmup traffic never counts against your email credits and never appears as a reply.

Human pacing by default. Sends leave each mailbox one every 20 minutes (jittered ±30%), new mailboxes start at 30 messages a day, and a campaign admits 100 new leads a day unless you change it — so a 5,000-lead list ramps over weeks instead of hitting inboxes on day one.

Plain text unless you choose otherwise. Campaigns ship in plain-text mode. Open and click tracking are available, but they are off by default because they need an HTML body, and HTML plus tracking pixels is exactly what filters look for in unsolicited mail.

Authentication checked before you send. The Domains tab on the Mailboxes page shows SPF, DKIM and DMARC per sending domain, and Final Review blocks a deploy while SPF or DKIM is missing. Every message carries the RFC 8058 one-click List-Unsubscribe header that Gmail and Yahoo require of bulk senders, plus an optional visible opt-out line.

Bounces handled correctly. A true hard bounce (SMTP 5.1.x, "no such user") marks the lead bounced and stops their sequence; policy and reputation rejections are treated as transient and retried, and a campaign whose failure rate climbs is paused automatically before it damages the domain.

Your own IPs from Pro. Pro includes one dedicated sending IP and Scale includes three, provisioned for your workspace, so another sender's mistakes can't affect your reputation. Tracking links can run on your own domain too — see custom tracking domains.

Sequences that read like a person

  • Any number of steps, each with its own wait in days, and A/B subject/body variants per step rotated evenly, randomly or by a weighted split.
  • Personalisation from any CSV column — {{first_name}}, {{company}}, {{title}} or your own — with fallbacks like {{first_name|there}} so a blank field still sends, and spintax {Hi|Hey|Hello} to vary wording on every send.
  • Sending windows in the campaign's timezone (default 09:00–16:30, Monday to Friday) or in each lead's own timezone from a timezone column.
  • Stops the moment someone replies. Every step for that lead is cancelled automatically — whether or not you've read the reply — and, by default, everyone else at that company is paused too.
  • Out-of-office replies with a return date hold the next step until that day instead of firing into an empty inbox.
  • Per-step control over the mailbox signature, condition nodes that branch on opens or clicks, and subsequences that start when a reply gets a particular tag (a "Meeting request" tag can send the calendar link straight away).

One inbox for every reply

Replies from every connected mailbox land in one threaded queue. Each is read and tagged — Interested, Meeting request, Question, Not now, Not interested, OOO, Wrong person, Referral — so you work the ones that matter first. Reply inline from the address the person wrote to, staying on your warmed mailbox and in the same thread; attach files; mark won; or block. Forward replies to any external inbox by rule, or push them to your own systems with webhooks (reply.received, reply.interested, reply.tagged and five more events) on every plan. LinkedIn messages are read into the same queue.

Email and LinkedIn in one sequence

Add LinkedIn steps — profile visits, connection requests with a note, messages — to the same sequence as your email steps, from a LinkedIn account you connect. Or run a LinkedIn campaign fed by an email campaign, so anyone who opens, clicks, replies — or finishes the email sequence without replying — leaves the email sequence and starts on LinkedIn. One LinkedIn sender is included on Basic and Pro and three on Scale; each extra is $60 a month. Leads without leaving the product

Import CSVs from anywhere (Smartlead and Instantly exports work as-is), deduplicated across your workspace, with a blocklist of emails and domains enforced at import, enrolment and send time. Or search the built-in Lead Database — 53M people filterable by title, seniority, country, industry and company size — and add them to a list in bulk with a per-company cap. Every plan includes a monthly Lead Database allowance (1,000, 5,000 or 50,000 people). On Pro and Scale, verify any list before it goes into a campaign — 300 checks a day on Pro, 1,000 on Scale — and import only the addresses that pass.

Pricing that doesn't grow with your team

Every plan includes unlimited connected mailboxes and unlimited teammates. You pay for two things: leads stored and emails sent.
